This is a Permanent, Full Time vacancy that will close in {x} days at {xx:xx} BST.

We are looking for an experienced Executive Assistant to come and join the team at Ardonagh Specialty. In this role you will manage day-to-day activities, deadlines and responsibilities on behalf of the CEO & Commercial Director.

Ensuring all business logistics, meetings, travel, administration and general support duties are undertaken at the highest standard and proactive in managing issues with thought, speed and accuracy.

Key Responsibilities:

  • Completes a broad variety of administrative tasks for the CEO & Commercial Director including managing an extremely active calendar of appointments; managing regular meeting rhythm, completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging occasional travel plans
  • Plans, coordinates, and ensures the CEO & Commercial Director’s schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO & Commercial Director’s time and office.
  • Works closely with other EA’s to assisting in scheduling meetings.
  • Ensure that the CEO & Commercial Director are adequately briefed and prepared for meetings.
  • Communicates directly, and on behalf of the CEO, with Board members, and others, on matters related to CEO's initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO & Commercial Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Works closely and effectively with the CEO & Commercial Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the priority issues.
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.  
  • Adhere to compliance regarding board and board committee matters, including collating and advance distribution of materials before regulatory meetings in electronic/paper format. 
  • Assists in coordinating the agenda of CEO & Commercial Director’s meetings and supports in following up on actions
  • Edits and completes first drafts for written communications to external stake holders and presentation material required for upcoming meetings.
  • Follows up on contacts made by the CEO & Commercial Director and supports the cultivation of ongoing relationships
  • Complete expense forms on a monthly basis.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Strong emotional EQ
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Strong work tenure and extensive experience supporting C-Level Executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
